Submit PTA Executive Board Contact Information
DUE: No later than June 15th
All PTAs in Virginia are required to submit the names and contact information of their Elected Officers to Virginia PTA pursuant to Code of Virginia for Non-Profits 57-49.5. This enables Virignia PTA to maintain your tax-exempt status and ensures your officers receive newsletters and other important communication to support your PTA. All information is considered the property and confidential information of Virginia PTA and is not shared or sold to any outside party.
Please update your unit’s officer contact information in MemberHub as soon as your officers are elected, but no later than June 15. Even if it is your second term, you must provide officer contact information for the new school year.
- Click the Admin Console button in the top right corner of your screen
- On the tab "PTA" and "Officers" you will see a list of current year officers
- Click the "Add An Officer" button (directly underneath the list of current year officers)
- Click "Compliance" in the right hand menu bar
- Click the Officers Box in the center of your screen
- Change the year to 2021-2022 in the right corner
- Click "Add An Officer"
- Include ALL officers and committee chairs
- Include your Principal.
- Even if it is your second term, you still need to update officers for the new term.
- If your PTA uses PTA position email address, you can just enter that same email address with the name of your new officer.
- Newly addded Officers and Committee Chairs will automatically receive an email from MemberHub welcoming them to the system and providing links to training resources
NOTE: You can update officer information through-out the school year if you fill a vacancy or need to change an email address. However, after June 30, past year officer information cannot be updated or removed. Prior year officer information remains in MemberHub for state-level PTA data records and while you can view past year officer information, it can not be edited.
IF YOU ARE MISSING OFFICERS FOR THE NEW SCHOOL YEAR
This happens from time to time. It's okay. You should still provide the contact information for ALL officers that have been elected as of June 15th.
Your nominating committee should keep working through the summer to identify candidates for open positions. In the late summer or fall when your General Membership elects an officer for the open position, you can update the contact information following the election. If you are struggling and need fresh ideas or help, please contact your District Director.
ACCESS TO MEMBERHUB
MemberHub is an online relationship management tool and phone app designed to help you run your PTA and enhance communication with your families. Virginia PTA provides Memberhub to all local units and councils free of charge!
As soon as you are identified as an officer of your PTA, you should have access to the Admin Console for your PTA's MemberHub Account.
- If your PTA uses PTA position emails, please remember to give your incoming officer the MemberHub password associated with your PTA email account
- If your PTA uses personal email address and you were already using MemberHub as a parent, your log-in and password are the same
Log-In for the first time
- Enter your email address.
- Choose the 2nd option, “I need to create a password” and enter your first and last name.
- Check your inbox and click the link in the confirmation email. Choose a password.
If you are an officer of your PTA and DO NOT see an orange Admin Console and Store Admin button in the upper right-hand corner, you should request access to MemberHub.

REMINDER: Please write your 8-digit UNIT CODE number on ALL correspondence.

Submitting Membership Lists and Dues
DUE: November 1, December 1, March 1 and June 1 (per Bylaws)
Submitting your dues on-time helps your PTA stay in Good Standing with Virginia PTA and enables your families to participate in Reflections and allows your PTA to qualify for grants and awards.
All PTAs in Virginia have FREE access to a basic MemberHub Account. All Units should submit their membership lists via their MemberHub. In addition to helping you sell and submit membership information, MemberHub provides your PTA with an on-line school directory, school store, sign-up, school calendar, fundraising platform, website hosting and more. SUBMITTING YOUR MEMBERSHIP LIST
If your PTA sells memberships through your PTA's on-line store in MemberHub:
- Submitting your membership list is automatic!
- You just need to submit your dues payment on-time.
If your PTA did NOT utilize your PTA's on-line store in MemberHub to sell memberships you can:
- Manually enter membership sales for any paper checks you've received
- Import a csv file with your membership list DIRECTLY into MemberHub.
PTAs are encouraged to pay membership dues electronically DIRECTLY through MemberHub. The transaction uses Stripe and requires you to enter your Bank's ACH information for your first transation. For details on how to utilize this feature, review the MemberHub Help Center on this topic
If your PTA has not used MemberHub in the past, you can request access here. You can also submit your dues payment by mailing a document dues remittance form (113 KB) and a physical check to Virginia PTA at 1027 Wilmer Ave, Richmond VA 23227.
Membership awards can be earned for many different reasons. The awards are a great way to show parents in your school how active and successful your PTA is! Some awards are automatically earned and others need to be applied for. Remember - in order to qualify for any membership awards, a PTA unit must be in Good Standing. Three Ways to Join
Join a local PTA. There are over 1000 PTA/PTSAs across the Commonwealth.
Join the Commonwealth PTA - Virginia PTA's new honorary statewide membership.
Start a New PTA Unit. If you are a parent, school employee, or maybe a concerned citizen in an area without a PTA, starting a new unit is easy to do. MemberHub Access Request
MemberHub is FREE for all Virginia PTA units and Councils. MemberHub allows you to update officer contact information, manage your annual compliance information, sell and manage memberships and connect with your families through a school directory, school store, sign-up, school calendar, fundraising platform, website hosting and more.
Please use the webform below to complete the contact information for your incoming President, Treasurer, and Secretary. The Virginia PTA office will set-up these three officers in MemberHub and you will receive a welcome email along with links to tutorials to help you fully utilize all of the MemberHub features. After you log-in, you can add all remaining officers and Principal information to MemberHub.
